Transportation is the sole responsibility of the parent or guardian, unless alternative arrangements have been made with the program coordinator. This means that parents are expected to ensure that their child arrives at the program on time and is picked up promptly at the end of each session.

However, if there is a situation where transportation is a challenge, the program coordinator must be notified in advance so that alternative options can be discussed and, if possible, arranged. This could include carpooling options, a designated meeting point, or any other solution that ensures the safe and timely arrival and departure of all participants.

Please note the following:

  • Timely Arrival & Pick-Up: It is essential that participants arrive on time and are picked up promptly at the end of each session. The program will not be responsible for any child after the designated end time.

  • Communication with Coordinator: If you need assistance with transportation or have specific concerns, please contact the program coordinator well before the session begins. It is important to make any necessary arrangements as early as possible.

  • Emergency Contact Information: Please ensure that your contact information is up to date, including emergency contacts, in case there is a transportation delay or issue.

Our goal is to ensure that your child’s participation in S.H.A.P.E.D. is as smooth and stress-free as possible, and we appreciate your support in managing transportation arrangements.

Yes, participation in all sessions is highly encouraged to get the most out of the S.H.A.P.E.D. program. Each session builds upon the last, and consistent engagement is key to personal growth and development in areas such as emotional discipline, resilience, and accountability. However, we understand that life can be busy, and if you need to miss a session, please inform your program facilitator in advance so we can provide resources to help you catch up.

If you miss a session, don’t worry! While it’s important to attend each session for full participation, we offer make-up materials (such as worksheets, recordings, or summaries) to help you stay on track. Additionally, facilitators are available to help answer any questions you may have or guide you through missed activities. Please reach out as soon as possible to arrange how best to catch up.

Please note:
Given the 6-week structure of the S.H.A.P.E.D. program, only one missed session is allowed. We understand that life happens, but to ensure that students receive the full benefit of the program, we encourage regular attendance. If more than one session is missed, we may need to discuss alternative options to ensure the student can fully participate in future sessions.

he safety of all participants is our top priority. To maintain a safe and respectful environment for learning and growth, the following Safety Protocols must be adhered to by all youth participants:

1. No Unauthorized Individuals in Sessions.

  • Policy: Youth participants are not allowed to have any other individuals (e.g., friends, family members, or visitors) present during the program sessions.

  • Reason: This ensures a focused and controlled environment where all participants can engage fully in the activities without distractions.

2. Refrain from Horseplay

  • Policy: Horseplay or any inappropriate physical behavior (e.g., roughhousing, pushing, or joking around physically) is strictly prohibited.

  • Reason: Physical altercations often arise from horseplay. We aim to create a respectful space where all students feel safe. Inappropriate physical behavior can result in disciplinary actions.

3. Do Not Open Doors for Unauthorized Individuals

  • Policy: Youth participants are not allowed to open doors for any unauthorized person(s) during the session.

  • Reason: For safety and security, only authorized personnel or facilitators are permitted to open doors or allow access to the facility. This policy helps protect against unauthorized access and ensures the safety of all participants.

4. Do Not Leave the Facility Without Instructor Permission

  • Policy: Youth participants must remain in the facility and cannot leave the designated areas (classroom, event space, etc.) without prior permission from an instructor.

  • Reason: This policy ensures that all youth are accounted for at all times. It also prevents participants from wandering off or being exposed to any safety risks outside the supervision of instructors.

5. Emergency Procedures

  • Policy: All participants must be familiar with and follow emergency procedures, including evacuation routes, emergency exits, and how to handle specific safety situations (e.g., medical emergencies, natural disasters).

  • Reason: Safety protocols are in place to protect everyone in the event of an emergency. Students will be given a briefing at the beginning of each session and should ask instructors if they have any questions about these procedures.

6. Respect the Facility and Property

  • Policy: Youth participants must treat the facility and its property with respect. Any damage to property or disruptive behavior will result in disciplinary action.

  • Reason: Maintaining a clean, respectful environment promotes responsibility and ensures that the space remains safe and functional for all participants.

Adhering to these Safety Protocols is essential for creating a secure and supportive environment for all participants in the S.H.A.P.E.D. program. Safety is a shared responsibility between facilitators, participants, and parents, and we appreciate your cooperation in maintaining these guidelines.

The success of the S.H.A.P.E.D. program is a shared responsibility, and we believe that parents play a vital role in supporting their child's emotional and developmental growth. To ensure a positive and impactful experience, we kindly ask that parents commit to the following expectations:

1. Active Engagement in the Process

We expect parents to remain actively engaged in their child’s journey throughout the program. This includes:

  • Engaging in discussions with your child about the weekly activities and lessons. Encourage reflection on what they’ve learned and how it applies to their daily life.

  •  Observing transformational behaviors: Keep an eye out for positive changes in emotional regulation, accountability, and moral decision-making. Share your observations with facilitators and celebrate your child's growth.

2. Attend the Mandatory Pre-Session Meeting

  • Parents are required to attend a mandatory meeting prior to the start of each new session. This meeting will provide an overview of the program's goals, activities, and expectations, and it will also offer you an opportunity to ask questions and connect with the program facilitators.

  • Engagement in these meetings ensures that parents are fully informed and prepared to support their child's participation in the program.

3. Support Fundraising Initiatives

To make the culminating ceremony a memorable event for all participants, we encourage parents to be actively involved in any necessary fundraising activities. These fundraisers help support the final celebration, marking the successful completion of the program's phases. Your involvement will ensure that all youth have the opportunity to participate in this important milestone.

4. Provide a Supportive Environment

  • At-home reinforcement: We ask that parents reinforce the lessons learned in the program by fostering a supportive and encouraging environment at home. This includes promoting emotional discipline, responsibility, and moral excellence.

  • Communication with facilitators: Regular communication between parents and facilitators will be encouraged to monitor progress and address any concerns or questions that may arise.

Parental involvement is crucial for the success of the S.H.A.P.E.D. program. By committing to these expectations, you are actively contributing to your child's growth and ensuring that the impact of the program extends beyond the classroom and into their daily life.

To ensure that every participant gains the full benefit of the S.H.A.P.E.D. program, we ask that youth commit to the following expectations:

1. Follow all Program Rules and Regulations

  • Participants are expected to adhere to the rules and guidelines established at the beginning of the program. This includes respecting facilitators, fellow students, and the learning environment. A positive attitude, cooperation, and respect for others are essential to maintaining a productive and safe space for growth.

2. Actively Participate in All Physical and Social Activities.

  • Engagement in all activities—both physical and social (such as discussions)—is essential for the program's success. This includes actively participating in exercises designed to build resilience, accountability, and emotional discipline. The more engaged you are, the more you will grow and learn.

3. Be On Time and Prepared to Engage

  • Punctuality is important to ensure that all activities can be completed as planned. Arriving on time shows respect for your fellow participants and the program. You are also expected to come prepared each session, with an open mind and readiness to engage fully in the activities and discussions.

4. Continue to Practice the Techniques and Skills Taught.

  • The learning doesn’t end with the sessions! We encourage participants to practice the emotional discipline techniques, goal-setting methods, and skills taught during the program outside of the scheduled sessions. Consistent practice will reinforce positive behaviors and enhance personal growth.

 5. Complete the Extension Activities as They Are an Important Aspect of Accountability

  • Extension activities are designed to reinforce the skills and lessons learned in each session. Completing these activities is a key part of developing accountability and taking ownership of your growth. These tasks will help you apply what you’ve learned to real-life situations, fostering self-discipline and responsibility.

By following these expectations, you are taking an active role in your own transformation and helping to contribute to a positive and supportive environment for all participants. Together, we can build resilience, accountability, and moral excellence to achieve your fullest potential.
